Alpine Master Plan Treks – Terms & Conditions
These Terms & Conditions apply to all treks, tours, and climbing expeditions organized by Alpine Master Plan Treks, a registered trekking and adventure company based in Kathmandu, Nepal. By booking any trip with us, you agree to the following policies.
Booking and Payment Policy
A non-refundable deposit of 20% of the total trip cost is required to confirm your booking.
The remaining balance must be paid upon arrival in Kathmandu, before the trek or expedition begins.
For trips to Tibet, Bhutan, or India, full payment may be required in advance due to permit and booking procedures.
Payments can be made via bank transfer, credit card, or cash, with any applicable service charges.
Cancellation and Refund Policy
Cancellations must be made in writing via email.
Refunds depend on the timing of the cancellation:
More than 30 days before departure: 50% refund (excluding deposit)
15–30 days before departure: 25% refund
Less than 15 days before departure: no refund
No refund is given if a client leaves the trip voluntarily or involuntarily after it starts.
Flight tickets (domestic or international) are non-refundable and non-transferable.
Changes to Itinerary
We reserve the right to modify itineraries due to weather, flight delays, natural disasters, political unrest, or client health issues.
We will provide alternative options with minimal disruption but are not liable for extra costs caused by such changes.
Travel and Medical Insurance
Comprehensive travel and medical insurance is mandatory for all clients.
Insurance must cover:
Medical expenses and personal accidents
Emergency helicopter evacuation (high-altitude treks/climbs)
Trip cancellation and interruption
Baggage loss or theft
Insurance must be obtained in your home country before arrival in Nepal.
Responsibility and Liability
We act as a service provider and are not responsible for events beyond our control, including natural disasters, flight cancellations, road blockages, or political unrest.
Clients must follow instructions from guides and trek leaders at all times.
The company is not liable for loss, injury, or damage to personal belongings.
Environmental and Cultural Responsibility
We promote ethical and sustainable tourism, following Leave No Trace principles.
Clients must respect local traditions, culture, and customs.
Responsible waste disposal, wildlife protection, and cultural sensitivity are expected throughout the journey.
Trekking Policies in Nepal
Licensed Guide Requirement: All foreign trekkers must be accompanied by a licensed guide, per government regulations.
TIMS Card (Trekking Information Management System): Required for most trekking regions and obtained through our agency.
Restricted Area Permits: Needed for remote regions; issued only through authorized companies.
National Park/Conservation Area Permits: Entry fees range from USD 20–30; arranged by us before the trek.
Local Municipality Fees: Some regions charge additional local entry fees.
All trekkers must carry valid permits and follow regulations.
Mountaineering and Peak Climbing Policies
All climbers must obtain climbing permits from the Department of Tourism through an authorized company.
Expeditions must include a licensed climbing guide (Sirdar) and liaison officer where applicable.
Clients must have appropriate experience and insurance covering high-altitude rescue.
We reserve the right to deny participation to anyone deemed unfit or unprepared.
Privacy and Personal Data
We respect your privacy. Personal details are used only for permit processing, trip management, and emergencies.
Data will not be shared with third parties except where required by law.
Acceptance of Terms
By confirming your booking with Alpine Master Plan Treks, you acknowledge that you have read, understood, and agreed to these Terms & Conditions. These policies ensure safety, transparency, and mutual respect between clients and the company.
